An evaluation type is the category of an evaluation.

Add a new evaluation type

  1. Expand the “Configuration” menu on the sidebar navigation. 
  2. Expand the “Lists” menu under “Configuration”.
  3. Expand the “Type” menu under “Lists”.
  4. Select the “Evaluation” menu.
  5. Select “Add” to add an evaluation type.
  6. Populate the fields.  Data fields with an asterisk (*) are required.
    • Name*: Enter the name of the type of evaluation.
      • The system will not allow evaluation types with duplicate names.
    • Description: Enter a description of the type of evaluation.
    • Allow Partial Submit: Toggle on to allow a user to submit the evaluation for review when they have outstanding items that have not been evaluated. 
    • Archived: Toggle on to disable the usage of this evaluation type.
    • External Identifier: Enter a unique identifier that represents this record in an external system.
  7. Select “Save” upon completion.

Develop an evaluation type

After the evaluation type has been created, develop the evaluation type by selecting parent asset types, child asset types, asset detail items, and asset attributes.

  1. Expand the “Configuration” menu on the sidebar navigation. 
  2. Expand the “Lists” menu under “Configuration”.
  3. Expand the “Type” menu under “Lists”.
  4. Select the “Evaluation” menu.
  5. Select “Edit” to edit an evaluation type.

Parent asset types

For each evaluation, you may select which parent asset types will be included in the evaluation process (in other words, which assets may be associated to an evaluation). 

  1. Locate the evaluation type record and select “Edit”.
  2. In the “Parent Asset Types” section, select “Edit”.
  3. Populate the fields.  Data fields with an asterisk (*) are required.
    • Selected: Toggle on to include this asset type as one that may be associated to the evaluation.
    • Detail items to include: Toggle on to include this asset detail item in the evaluation.
    • Attributes to include: Toggle on to include this asset attribute in the evaluation.
    • Include Blank Values Only: Toggle on to only include selected items where the current value is blank.
  4. Select “Save” upon completion to return to the evaluation type’s detail page.

Child asset types

  1. Locate the evaluation type record and select “Edit”.
  2. In the “Child Asset Types” section, select “Edit”.
  3. Populate the fields.  Data fields with an asterisk (*) are required.
    • Selected: Toggle on to include this child asset type in the evaluation.
    • Detail items to include: Toggle on to include this child asset detail item in the evaluation.
    • Attributes to include: Toggle on to include this child asset attribute in the evaluation.
    • Include Blank Values Only: Toggle on to only include selected items where the current value is blank.
  4. Select “Save” upon completion to return to the evaluation type’s detail page.

Selection Criteria Information

Selection criteria allow you to include a subset of child asset types in the evaluation based on filtering criteria.

  1. Under the child asset, select “Add” to add a new selection criteria.
  2. Populate the fields.  Data fields with an asterisk (*) are required.
    • Group*: The group of this item.  Groups are used in conjunction with logical statements where the entire group evaluates to true or false.
    • Precedence*: The order of this item in relation to the other triggers in the group.
    • Trigger Type*: The type of trigger to perform.  Options include Asset Attribute Comparison or Asset Detail Item Comparison.
    • Asset Attribute: The asset attribute to compare.
    • Asset Item: The asset item to compare.
    • Operator: The operator used against the value comparison.
    • Value: The value to use for the comparison.
    • Logical*: Defines how to relate this item to the other item.
  3. Select “Save” upon completion to return to the evaluation type’s detail page.

Manage evaluation types

  1. Locate the evaluation type record.
  2. If the In Use column displays “Yes”, click the “Yes” text to view a report of all evaluations categorized as this type.
  3. To the right of each record, under the Actions menu, you may:
    • Edit the evaluation type.
    • Copy the evaluation type as a new evaluation type.
    • Download the evaluation type definition for import into another database.
    • Delete the evaluation type. You may delete types only when they are not in use at any record.
